Refund Policy
Last updated October 2026
Registering for The Georgia Cup is free. The $200 team entry fee ($100 per player) is due by March 1, 2027, so you have months to be sure before you pay. Paying the entry fee is your team's commitment to play, and this policy is part of the Terms of Entry you accept when you register and again when you pay.
At a glance
- Registered but not paid: nothing has been charged. Withdraw any time by emailing us, or just don't pay; unpaid teams are removed 3 days after the deadline.
- Paid, and you withdraw before the bracket is published: $185 back. That's the $200 entry fee less a $15 processing and administration fee.
- Paid, and you withdraw after the bracket is published: no refund. Your spot can't be refilled once the bracket is set.
- We decline your entry, or we can't place a team that has paid: a full refund. That includes a team removed for non-payment whose payment arrives afterward, unless the committee reinstates it.
- We cancel the tournament before Round 1 begins: a full refund.
- Second Chance entry ($50 per player, $100 per team): non-refundable once paid. Refunded in full only if the committee overturns the loss that led to it and restores your team to the Championship Bracket.
When the bracket is published
The bracket is published when the committee posts it on the bracket page and emails every captain. We use the time your withdrawal email reaches us to decide whether it came before or after that moment.
What is not refunded
Once the bracket is published, the entry fee is not refunded for any reason, including:
- a forfeit, including one because a player wasn't available on a round's play dates;
- travel distance, travel cost, or where matches are played, including when your team chose a region other than its home region because the home region was full;
- your region placement, seed, or opponent;
- weather, course conditions, or a course closure (matches that can't be played are rescheduled instead);
- a player's injury, illness, or schedule conflict, or a partner who drops out;
- removal by the committee for misconduct, a misrepresented handicap or GHIN number, or a breach of the Terms. Removal for these reasons forfeits the fee even before the bracket is published.
Waitlisted teams
A waitlisted team can't pay, and is never charged, unless a spot is offered to it. Spots go to the waitlist in registration order whenever they open before the bracket is published, not only after the payment deadline. We email the captain, and the team has 24 hours to pay and claim the spot. If it doesn't pay in time, the offer passes to the next team and the team leaves the waitlist. Once a waitlisted team pays, this policy applies to it the same way it applies to every other team.
How to withdraw or request a refund
Email info@thegeorgiacup.com from the captain's email address, with your team name. Approved refunds go back to the original payment method, usually within 10 business days.
Card disputes
Please contact us before you dispute a charge with your bank. Agreeing to the schedule is part of paying: a schedule conflict, a forfeit, or a match your team didn't play is not a valid reason for a dispute. A team that files a chargeback is removed from the tournament and may not enter future seasons. We will give the card issuer our records of your team's agreement to these terms, including when the captain accepted them at registration and at payment.
